Bring in your client list

A Business account can add its whole client list from one CSV or Excel file. Export the list from your practice tool, CRM or spreadsheet, choose the file in Import clients, check which column holds each client's name and email, and add them all. Nothing is sent to your clients.

What this does for you

Every client your firm already has, added in one step instead of one at a time.

1. How do I bring in my client list?

  1. Export your clients or contacts as a CSV or Excel file from your tool, by its own guide below, or fill in the template.
  2. In Clients, select Import clients, then choose the file.
  3. Check the columns. Client name, First name, Last name and Email are already set from the file's headings. Change one if it shows the wrong column.
  4. Read the clients to add and any rows not added, each with its row number in your spreadsheet and the reason.
  5. Select Add, which gives the number, such as Add 24 clients. The page then says 24 clients added.
  6. Wrong file or column? Select Undo this import before you leave the page. A client someone has changed since stays, and the page names it.

You can then send each client an information request when you are ready. No copy of the file is kept.

Each tool has a short guide to its export:

2. How do I use a spreadsheet?

  1. Download the template, which has the two headings Client name and Email, or use your own spreadsheet with its headings in the first row.
  2. Put one client on each row.
  3. Save it as Excel, or in Numbers or Google Sheets download it as CSV or Excel.

3. Which columns does it read?

  • Client name. A heading such as Name, Client name or Contact name is chosen for you.
  • First name and Last name, optional, for a list that keeps a person's names apart. A row with no client name takes them joined, so Sarah and Jenkins are added as Sarah Jenkins.
  • Email, optional. A heading such as Email or Email address is chosen for you.

Every other column is left out, so you don't need to delete them first. An Excel file is read from its first sheet. The file can be up to 1 MB, which holds thousands of clients. If yours is larger, export only the client list, or only the columns in view where your tool lets you choose.

4. Why is a row not added?

  • No name: the row's name cells are empty.
  • Name over 500 characters: a client's name holds at most 500.
  • Email is not a valid address: fix it, or leave the cell empty.
  • Same name as row 2: an earlier row of the file has the same name.
  • Already clients: a client already has each name, such as from an earlier import. A run of rows shows as one line, such as 46 rows, 2 to 47.
  • Over the client limit: the business has no room for them. The note above the lists says what it holds and the way to fit them.

Two clients may share an email, such as a family trust and its super fund. To add a row that was left out, fix it in your spreadsheet and import the file again: the clients already added are left out by name, and only the fixed row is added.

A business holds 50 clients for each adviser it is sized for, up to 500 at 10 advisers. How many clients a business holds explains the limit.
