Clients
In a Business account, Clients lists every client the business holds, one row each. The client who needs you most is at the top. Every adviser in the business sees the same clients.
The examples below use the four clients of the Business example.
1. Adding a client
Select Add client. The form has three fields.
- Client name. No other client in the business may have the same name.
- Email, optional. Reports and information requests are emailed to this address.
- Other contacts, optional. Up to four addresses, one per line, such as the client's accountant. A report can also go to these, and each is sent a link of their own.
Select Add client again to save. The new client's Setup page opens, with a note such as Smith family added. Setup lists the records to enter first. Cancel returns to Clients and saves nothing.
An address is saved in lower case, a repeated one is saved once, and the client's own Email is not repeated under Other contacts. A client can be added without an email, but no request or report can be sent until one is saved.
If something is wrong, the form says which field and why:
- Enter a client name.
- Another client already has this name.
- Enter a valid email address.
- Enter up to four other contacts.
- Enter one valid email address on each line.
2. What does each column show?
| Column | What it shows |
|---|---|
| Client | The name. It opens the client's Setup page. |
| Records to review | How many reasons there are to look at the records again, or None. |
| Last recorded | The day anything was last recorded, or Nothing recorded. |
| Open request | When the client's answer is due, or where the request stands. |
| Last report sent | The day the latest report went, or None. |
Records to review A value or balance too old to trust, a term ending within 90 days, or records changed after the retirement plan was saved. Records not yet entered are not counted. Setup lists those. counts three kinds of reason: a value or balance that needs a newer figure, a term ending within 90 days, and records changed after the retirement plan was saved. Select the number to read each reason, such as a loan's term and the day it ends. Records not yet entered are not counted here. Setup lists those.
Open request reads Due and the date while the client has time to answer, and Overdue once that day passes. Once the client sends their answer it reads Ready to review. The information request explains each step.
The Business example reads:
| Client | Records to review | Last recorded | Open request | Last report sent |
|---|---|---|---|---|
| Mitchell household | None | 30 Sept 2026 | Ready to review | 3 Oct 2026 |
| Brightwater family | None | 18 Sept 2026 | None | 4 Oct 2026 |
| Eastvale holdings | None | 30 Sept 2026 | Due 27 Oct 2026 | 27 Aug 2026 |
| Fenwick trust | None | 2 Oct 2026 | None | 10 Sept 2026 |
A client with no email carries the note No contact email: requests and reports cannot be sent.
3. Why is a client at the top?
Clients are sorted by these rules, each one deciding only a tie in the one before.
- A response ready to review.
- Nothing recorded yet.
- The most records to review.
- The longest since anything was last recorded.
- The name, A to Z.
In the Business example, Mitchell household is first, as its response is Ready to review. No other client has records to review, so the rest follow their Last recorded date: Brightwater family on 18 Sept 2026, Eastvale holdings on 30 Sept 2026, then Fenwick trust on 2 Oct 2026.
With more than five clients, Search clients finds one by name or email. If nothing matches, the page reads No matching clients.
Each month, every adviser who keeps Digest emails on in Account is emailed a line for each client whose position moved, or whose records need a newer figure or have a term ending. The client never gets this email. Records that go stale explains those reminders.
4. How many clients can a business hold?
Each adviser the business is sized for adds 50 clients. The size is set on the Business page in Account.
| Size | Clients |
|---|---|
| 1 adviser | 50 |
| 5 advisers | 250 |
| 10 advisers | 500 |
The Business example is sized for 1 adviser, so it holds up to 50 clients and has 4. When a business is full, Add client reads Client could not be added. It says the business holds all the clients its size allows, 50 for each adviser, then what to do next:
- The first adviser, who created the business, reads Increase the size in Account, then try again.
- Any other adviser reads Ask the first adviser, who created the business, to increase the size, then try again.
- At 10 advisers, it reads Delete a client the business no longer advises, then try again.
Your account explains sizes and billing.
5. Editing or deleting a client
Edit client is on the client's Portfolio position page. It opens the same three fields. Save client saves them and opens Setup.
Delete client, in the same form, deletes the client and every record in it. A box asks Delete Smith family and every record in it? Its Delete client button works only once you type the client's name.
A sent report is kept for seven years as the record of what was delivered. Until the newest is seven years old, the form has no Delete client and gives the date instead. Mitchell household's last report went on 3 Oct 2026, so its form reads Mitchell household can be deleted from 3 Oct 2033, seven years after its last report was sent.
6. What if a client does not show?
- A business with no clients reads No clients yet, with Add client.
- A search that matches no one reads No matching clients. Change the search.
- A Business account opens client records only once two-step verification is on. Until then, signing in opens Security, and Clients reads Turn on two-step verification to open client records, with Open Security. Two-step verification explains how to turn it on.
- If the list fails to load, the page reads Clients could not be loaded, with Try again.
