Reports sent
A Business account can send a client their results as PDFs. Each recipient gets an email with a Secure link A link that opens the report page without a sign-in until its access period ends. , and the link works for the days you choose. The recipient needs no account.
The examples below use the Mitchell household in the Business example.
1. Sending a report
Open the client, choose Reports sent from the menu and select Send report. The form has two parts.
- Documents lists what this client's records can produce, each with a line on what it holds. Tick each one to send. Portfolio position starts ticked.
- Recipients and access lists the client's Email and Other contacts. Tick each to send to. The Access period The number of days the link works, one to thirty. is 1 to 30 days and starts at 14.
For the Mitchell household the form offers Portfolio position, Current cashflow, Property performance, Retirement and Financial year review. On 3 Oct 2026 the Mitchells were sent Portfolio position and Current cashflow for 14 days, so access ends on 17 Oct 2026, 8:00 pm.
Select Send report. Each document is worked out then, from the records that day. Reports sent opens with Report sent to and the addresses. Each address is sent a link of its own.
A result page, such as Portfolio position, also has Send report. It sends that one result to the client's Email. Its box gives the address and an Access period, 14 days to start. The email holds only the link, with no figures and no attachment. After sending, the page reads the recipient and when secure-link access ends.
2. What a report holds
Each document you chose, as its own PDF, in the order the form lists them. Each PDF has its own Cover The first page of a document's PDF: its title, who it was prepared for and by, and its As at date. and contents. The figures are the ones the page showed on the day it was sent, and they never change after.
A document that cannot be worked out yet is left out, and the others still go. The sent report lists it as Not sent, with the record it needs.
3. The secure link
The link opens a page headed with the business's name and sent you a report. The client's name is the title. Each document has its own Download PDF. Anyone with the link can open it until access ends. A downloaded PDF stays with whoever saved it.
End session closes the page on that device. It then reads Session ended. The report is no longer shown here.
4. What does Reports sent show?
Reports sent has one row for each recipient of each send. The Mitchells' row reads Portfolio position and Current cashflow, to their email, Sent 3 Oct 2026, Access ends 17 Oct 2026, State Active, with End access.
| State | What it means |
|---|---|
| Active | The link works. |
| Expired | The access period passed. |
| Ended | You ended access. |
| Email not sent | The email did not go. |
A report a schedule sent reads Sent by and the schedule's name under it. Select a row to open Sent report. It gives who it was sent to and when, Access ends with the time, and each document with Download PDF.
5. Send link again, end access
Send link again, on Sent report, opens a form with the access period. It says a new link goes to the recipient, and the previous link stops working, including for anyone reading the report. Select Send link again in the form. The page reads Link sent.
If the address is no longer saved on the client, the page reads The recipient is no longer saved on this client. Save the address again in Edit client, then send the link again.
End access is on Sent report and on the row in Reports sent. A box asks End access to Portfolio position and Current cashflow now? It says the link stops working and the report stays in Reports sent. Once ended, the page reads Access ended and the State reads Ended.
A sent report's PDFs are kept for seven years, then deleted with the link. Sent report then gives PDFs deleted with the date, and the record of what was sent stays.
6. Reports on a schedule
Start schedule, on Reports sent, sends the same documents on a cadence you choose, such as each quarter, without you sending each one. Scheduled sends explains how.
7. What if a report cannot be sent?
- A client with no email reads This client has no contact email, with Edit client.
- A client with nothing recorded yet reads No documents to send yet, with Open setup.
- With nothing ticked, the form reads Choose at least one document to send, or Choose at least one recipient.
- If none of the ticked documents can be worked out, nothing is sent, and the page lists the records they need.
- If the client's contacts changed while the form was open, it reads The saved contacts changed. Review the recipients, then try again.
- If the send fails, the form reads Report could not be sent. Check Reports sent before trying again, so the client is not sent it twice.
- A recipient whose link no longer opens sees This link can't be used, with Ask for a new link. The business is told, and you can use Send link again.
